Exchange 2013 Configuration

The following article covers the configuration required for MS Exchange 2003, 2007 & 2010

Exchange 2013

There are three steps to this.  The receiving connector and the outbound connector configuration are mandatory and the journaling configuration is required if you wish to archive internal communications also.

Receive Connector Configuration

To accept email from Mailsphere on your Exchange 2013, in the Admin Center select mail flow followed by receive connector.  You will see the existing receive connectors configured and a new connector should be added using the + button.  We do not suggest editing an existing connector as this may disrupt mail flow while you are completing your configuration.

Add a meaningful name for the new connector such as 'Mailsphere' and ensure Custom is selected before clicking 'next'.

On the next step you can configure the network adaptor the receive connector is connected to. This will be default be set to (All available IPv4) and will cover most peoples environments.

On the final step you are required to enter the IP address of the Mailsphere MTA's. This will ensure that only traffic from these IP addresses will be accepted by this connector.  Add the following IP addresses:

Send Connector Configuration

To configure your Exchange 2013 server for sending email through Mailsphere you will need to add a new Send Connector which can be found via the Exchange Admin Center - Mail Flow - Send Connectors.

On the first screen of the new send connector wizard add a meaningful name, for example 'Mailsphere', and ensure Custom is selected before clicking 'next'.

On the second step of the send connector creation choose to 'Route mail through smart hosts' and add the FQDN of the two Mailsphere MTA's:

Click 'next' to continue.

When the send connector wizard asks for the authentication method of the smart host select 'None' followed by 'next'. Mailsphere validates your configured domains with our IP address so no authentication is required.

This step of the send connector configuration requires the address space to be defined for the email being routed via Mailsphere.  This can be limited to a domain if necessary or, as demonstrated above, configured for all email.

Finally, you will be asked to define the source Exchange servers that will be sending email through this send connector. Select the add button and include the relevant servers from the list for the send connector. Once you have added these select Finish to complete the send connector configuration.

Enabling Journaling for Internal Mail Archive

To enable Journaling in Exchange 2013 please go to Compliance Management - Journal Rules.

On this screen you can configure the rule to send all internal email to the Mailsphere journal mailbox:

  1. Click the add button to create the rule
  2. Add journal@mailsphere.mx as the email address to send journal reports to
  3. Assign a meaningful name, such as 'Mailsphere Journal'
  4. Ensure that this is applied to all messages
  5. Select 'Internal Messages Only' from the final drop down list

If you are using the Managed Availability service in Exchange 2013 you will find that these messages will be journaled. Mailsphere will happily accept these messages into the archive but they will create a great deal of noise when searching your archive.  The problem is recognised by Microsoft as an issue with Exchange 2013 but as of yet there is no fix available.  Please follow the link below to disable these messages from being sent to the journal mailbox.
